The best accountancy automation opportunities are rarely the professional decisions. They are the repeated requests, data movements and status checks wrapped around those decisions. Improving them starts with a clear workflow, not a new AI subscription.

Start with one recurring client journey

Choose a process that happens frequently enough to matter and is stable enough to examine. Client onboarding, monthly document collection and deadline reminders are usually better starting points than an unusual advisory engagement.

Write down where information first arrives, who checks it, where it is re-entered and what causes somebody to chase. The delays between systems often cost more time than the individual task.

  • How often does the workflow run?
  • Where is the same information typed twice?
  • Which exceptions require professional judgement?
  • What evidence must be retained?

Separate administration from judgement

Rules can check whether an expected document has arrived. They cannot decide whether the evidence is sufficient for a professional conclusion. That boundary should be explicit before anything is automated.

A sound design prepares, routes and records work while leaving regulated or judgement-based decisions with an appropriately authorised person.

Measure the result honestly

Record a baseline before changing the process: handling time, elapsed time, rework and missed follow-ups. Compare like with like after a useful trial period.

If the saving depends on unusually clean data or perfect staff behaviour, it is not yet a dependable business case. A deeper Business Efficiency Audit can map the controls and exceptions before implementation.
