Recruiters create value through relationships and judgement, yet much of the working day can disappear into record updates and coordination. The sensible automation target is the administration around the decision—not the decision itself.

Find the repeated record changes

Follow one vacancy from initial client brief to placement or closure. Note every time a person copies information between an inbox, document, calendar and CRM.

A structured vacancy intake can create a consistent record and task list, but a recruiter should still confirm the brief and its important nuances.

Use clear data boundaries

Candidate information is personal data. Define what can enter each system, who can see it, how consent is recorded and when information should be removed.

AI-assisted notes or summaries require an approved tool, a stated purpose and human verification. They should not become an unexamined basis for screening people.

Improve coordination before adding intelligence

Availability requests, confirmations, reminders and outcome prompts can often be improved with ordinary workflow rules. This is usually more predictable than asking an AI system to manage the whole journey.

Measure record completeness and time spent on updates, alongside candidate and client experience. Faster is only better when the information remains accurate.
